Job Type: Full-Time / Part-Time
Position Overview:
We are seeking a dedicated and detail-oriented House Manager to oversee the daily operations, maintenance, and management of private residences in various locations. This role involves ensuring the home runs smoothly, managing service providers, and coordinating a wide range of services that align with the homeowner's lifestyle. The ideal candidate will be proactive, highly organized, and able to handle a variety of tasks with professionalism and discretion.
Key Responsibilities:
- Home Maintenance Management:
- Supervise and manage routine and emergency home maintenance, including HVAC, plumbing, electrical, and appliance checks.
- Coordinate seasonal maintenance tasks such as landscaping, snow removal, and pest control.
- Vendor & Contractor Coordination:
- Vet, schedule, and manage vendors and service providers (e.g., cleaners, landscapers, contractors) to ensure high-quality work.
- Negotiate contracts, obtain quotes, and manage budgets for various home-related services and repairs.
- Ensure that all service providers follow established procedures and guidelines for quality and safety.
- Household Inventory Management:
- Maintain an organized inventory of household supplies, ensuring that all necessary items are stocked and in good condition.
- Manage household budgets, tracking expenditures and ensuring services are within agreed-upon costs.
- Special Projects & Event Coordination:
- Oversee special projects like home renovations, interior design, or large-scale events (e.g., parties, gatherings, seasonal decorating).
- Work with the homeowner to plan and execute special occasions, ensuring everything is handled smoothly and according to their vision.
- Family & Personal Support:
- Assist with family-related tasks, such as coordinating appointments, arranging travel, or organizing activities.
- Provide general support for the homeowner’s personal needs, including running errands and handling day-to-day household tasks.
- Security & Safety:
- Oversee home security systems, ensuring proper functionality and responding to any issues that may arise.
- Ensure the home is secure during the homeowner’s absence, including regular checks and updates on alarm systems, locks, and surveillance equipment.
- Communication & Reporting:
- Regularly communicate with the homeowner, providing updates, reports, and recommendations.
- Prepare detailed reports on the condition of the home, including any issues discovered and resolved.
Qualifications:
- Experience:
- Proven experience in property management, housekeeping, or as a personal assistant with responsibilities for managing private homes.
- Previous experience managing contractors and coordinating multiple service providers is a plus.
- Skills & Abilities:
- Strong organizational and time-management skills, with an ability to handle multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, with a high degree of professionalism.
- Ability to handle sensitive information with discretion and confidentiality.
- Proficiency in basic household maintenance, including familiarity with home systems like HVAC, plumbing, and appliances.
- Ability to work independently and take initiative, while also being a collaborative team player.

We are looking for a skilled and experienced Maintenance Manager to oversee and manage all aspects of maintenance for our residential properties and facilities. The ideal candidate will have a strong background in property maintenance, leadership, and the ability to manage a team effectively. As a Maintenance Manager, you will ensure the proper functioning and maintenance of building systems, equipment, and infrastructure while leading a team of technicians and coordinating service requests for residential properties.
Key Responsibilities:
- Maintenance Oversight & Coordination:
- Oversee the routine and emergency maintenance of residential properties, ensuring that all tasks are completed in a timely manner.
- Coordinate with contractors, vendors, and maintenance technicians to perform repairs, installations, and preventive maintenance.
- Create and manage preventive maintenance schedules for HVAC, plumbing, electrical, and general home maintenance tasks.
- Team Leadership & Training:
- Supervise and lead a team of maintenance technicians, providing guidance, training, and support to ensure the highest standards of work.
- Assign and prioritize work orders based on urgency, impact, and available resources.
- Foster a collaborative and efficient team environment, ensuring high employee morale and productivity.
- Budget Management:
- Develop and manage the maintenance budget, ensuring efficient allocation of resources for repairs, services, and supplies.
- Track and control costs associated with maintenance projects, ensuring they stay within budget.
- Negotiate contracts and service agreements with vendors and suppliers, ensuring cost-effective pricing.
- Inspection & Quality Control:
- Conduct regular inspections of properties to identify maintenance needs and ensure all work meets established quality and safety standards.
- Ensure compliance with all local, state, and federal regulations concerning building codes, health and safety standards, and environmental concerns.
- Perform or oversee inspections of systems, including HVAC, plumbing, electrical, and general home systems, ensuring timely repairs and replacements as necessary.
- Emergency Response & Problem Resolution:
- Lead and coordinate responses to emergencies, including system failures, water damage, or other urgent issues affecting the home or property.
- Resolve maintenance-related problems quickly and efficiently, ensuring minimal disruption to homeowners and tenants.
- Vendor & Contractor Management:
- Vet, manage, and coordinate third-party contractors and service providers for specific maintenance tasks or large projects.
- Ensure all contractors meet quality standards, safety regulations, and compliance requirements.
- Handle vendor communication and resolve any issues related to service delivery.
- Reporting & Documentation:
- Maintain accurate and up-to-date records of all maintenance activities, including work orders, preventive maintenance schedules, and vendor contracts.
- Provide regular reports to senior management on maintenance issues, project status, and any outstanding or recurring problems.
